Planning a Hawaii vacation should feel exciting. After all, you’re dreaming about swaying palm trees, golden sunsets, waterfalls, and days spent exploring some of the most beautiful islands in the world.

It should not feel overwhelming.

If you’ve found yourself comparing dozens of resorts, debating whether to visit one island or three, wondering if a helicopter tour is worth it, or trying to figure out how to fit everything into one trip, you’re in good company. Hawaii offers endless possibilities, which is exactly what makes planning it so challenging.

That’s where we come in.

One of my favorite parts of my job is helping travelers discover that there isn’t one “perfect” Hawaii vacation. There is only the perfect Hawaii vacation for you.

This article is a behind-the-scenes look at what it’s actually like to plan a Hawaii vacation with Where To Go Travel Co, from our first conversation to the moment you step onto the plane.

It All Starts With a Conversation

Before we recommend a single resort or suggest an itinerary, we want to get to know you.

You’ll work directly with me (Rose) or with one of our knowledgable advisors.

We’ll either have a phone call or meet over Zoom. We love to meet on Zoom because we find it’s the best way to put faces to names and have a real conversation. This isn’t a sales call. It’s simply an opportunity for me to learn about the vacation you’re envisioning.

Some of my favorite questions to ask you include:

  • Is this your first trip to Hawaii?
  • Are you celebrating anything special?
  • When you picture your ideal vacation day, what does it look like?
  • Do you prefer relaxing by the pool or filling every day with activities?
  • Are you early risers who love a sunrise hike, or do vacation mornings begin with room service and coffee on the lanai?
  • Are you hoping to visit multiple islands or settle into one place?
  • What made you decide Hawaii was the right destination?

There are no right or wrong answers.

Every answer helps me understand how you travel, which often tells me far more than simply asking which island you want to visit.

Sometimes clients come to me convinced they’ve already chosen the right island. After learning more about what they want from their vacation, we occasionally end up somewhere completely different. Matching the destination to your travel style is one of the most valuable parts of the planning process.

Our Hawaii Planning Philosophy

I don’t believe the best vacations are the ones where you check the most boxes.

I believe they’re the ones where you come home feeling refreshed, connected, and already dreaming about your next trip.

That means I often encourage clients to slow down.

Instead of trying to squeeze four islands into seven nights, we may spend more time enjoying two islands. Instead of recommending the busiest itinerary possible, we’ll build in afternoons for relaxing by the pool, wandering through charming beach towns, or simply watching the sunset with a tropical drink in hand.

Luxury, to me, isn’t about choosing the most expensive option.

It’s about creating an experience that feels effortless.

Sometimes that means club level access, concierge service, or a spectacular oceanfront suite. Other times it simply means choosing the resort that’s the best fit for your family and your priorities.

Every recommendation is carefully selected for your individual family.

Choosing the Right Island

One of the first decisions we’ll make together is which island, or islands, belong in your itinerary.

Each island has its own personality.

Kauai is lush, dramatic, and wonderfully relaxed. It’s perfect for travelers who love breathtaking scenery, hiking, waterfalls, and a slower pace.

Maui offers an incredible balance of beautiful beaches, fantastic dining, luxury resorts, snorkeling, and unforgettable adventures like the Road to Hana or sunrise at Haleakala.

Oahu combines vibrant city energy with beautiful beaches and rich history. I especially love creating “town and country” itineraries that combine a few nights in Waikiki with time on the North Shore or Ko Olina.

The Big Island feels unlike anywhere else in Hawaii, with active volcanoes, black sand beaches, coffee farms, and landscapes that change dramatically as you explore.

Lanai is ideal for travelers looking for something quieter and more secluded.

There isn’t a “best” island.

There’s simply the one that’s the best fit for your vacation.

How We Choose Your Resort

One of the biggest misconceptions about travel planning is that there’s one resort we recommend to everyone.

There isn’t.

In fact, one of my personal favorite parts of planning Hawaii vacations is matching people with the property that’s going to fit them best.

For example, I absolutely love the Grand Hyatt Kauai for families. It has beautiful pools, a fantastic location, and so much to do right on property. But it’s also a large, sprawling resort. If someone in your group has mobility concerns, that’s an important conversation to have because another property may be a much better fit.

On Maui, I often recommend Wailea Beach Resort for families. But if a family has three or more children, we may lean toward Fairmont Kea Lani instead because the spacious suites give everyone much more room to spread out.

Those aren’t decisions you can make from photos alone.

They’re the result of understanding both the resorts and the people staying there.

Many of our clients choose beautiful properties like Four Seasons Maui, Grand Hyatt Kauai, Fairmont Kea Lani, One Hotel Hanalei Bay, Four Seasons Oahu at Ko Olina, or Fairmont Orchid, but those recommendations always come after we’ve talked through what’s most important to you.

Behind the Scenes

Two resorts can have similar nightly rates and receive excellent reviews, yet offer completely different experiences. I’m thinking about room layouts, resort atmosphere, walking distances, beach conditions, dining options, and who each property serves best. Those are the details that don’t always show up in online reviews.

Rather than sending dozens of options, we usually narrow it down to a few recommendations that we genuinely believe are the best fit.

Instead of overwhelming you with everything at once, we send information when it’s actually useful.

About a Month Before You Leave

About 30 days before departure, we perform what I call a trip audit.

This is one of my favorite parts of the planning process because it’s our opportunity to review every detail before you travel.

We verify your flights, hotel reservations, rental car, activities, dining reservations, confirmation numbers, travel documents, and timing. If something doesn’t look quite right, this is when we fix it.

After everything has been thoroughly reviewed, you’ll receive your final itinerary.

This becomes your go-to travel companion and includes everything in one organized place, including reservation numbers, contact information, meeting locations, sightseeing suggestions, activity confirmations, and important travel details.

When travel day arrives, we want you focused on the excitement of your vacation, not wondering if you’ve forgotten something.

A Sample 10-Night Hawaii Itinerary

Every itinerary we create is different, but here’s an example of what a thoughtfully paced Hawaii vacation might look like.

Days 1-5: Maui

  • Arrive in Maui and settle into Fairmont Kea Lani.
  • Relax by the pool and enjoy your first Hawaiian sunset.
  • Snorkel Molokini Crater.
  • Experience sunrise at Haleakala.
  • Spend a leisurely day exploring Upcountry Maui.
  • Take a guided Road to Hana tour.
  • Enjoy dinner overlooking the ocean.

Days 6-10: Kauai

  • Fly to Kauai and check into Grand Hyatt Kauai.
  • Explore Poipu Beach.
  • Float through the historic irrigation canals with Kauai Backcountry Adventures.
  • Take a sunset dinner cruise of the Na Pali Coast.
  • Visit Waimea Canyon.
  • Discover charming Hanapepe and Koloa.
  • Enjoy one final sunset before heading home.

One important thing we like to build into our Hawaii itineraries is down-time. We like to have days with very little planned- but we’ll always put in a few suggestions of what to do (a few sightseeing options like easy to get to waterfalls, a short hike or walking trail, a cute town with good souvenier shops, that kind of thing).

We don’t plan something every hour of the day, but you’ll never not know what the options are.

What Our Clients Typically Invest

Our recommended Hawaii accommodations typically start around $600 per night for two people. (That’s because we’re experts on the 4- and 5-star accommodation options in Hawaii.)

Most of our clients invest between $8,000 and $15,000 or more for a thoughtfully planned seven to ten night vacation once accommodations, flights, rental car, activities, and travel protection are included.

Every trip is customized, so your investment will depend on your travel dates, preferred islands, resort choices, and the experiences you’d like to include.
