An important checklist to keep you on track with preparing for your next vacation!
Planning a trip is exciting, but the preparation that happens before you leave is what often determines how smooth (and stress-free) your experience will be.
This checklist is designed to help you prepare thoughtfully and confidently, using a realistic timeline so nothing important gets overlooked or left until the last minute. Bookmark this post and use it as your go-to guide as your trip approaches.
If you booked your trip with Where To Go Travel Co, you’ll also receive trip prep emails along the way— timed reminders so you don’t have to keep track of every detail yourself.
And if you’re traveling internationally, this checklist works hand-in-hand with our more detailed guide on passports, visas, and entry rules here: 👉🏼 https://wheretogotravelco.com/2025/12/30/international-travel-documents-entry-requirements/
With your departure date on the horizon, now is the time to make sure the foundation of your trip is solid.
✔️ Confirm all major components of your trip are booked (flights, hotel, car, travel insurance, and any prebooked tours or excursions)
✔️ Check passport validity and physical condition if traveling internationally (some countries require at least six months of validity beyond your return date)
✔️ Review entry requirements for your destination using official sources like travel.state.gov
✔️ Apply for TSA Precheck or Global Entry if applicable
✔️ Enroll in the State Departments Smart Traveler Enrollment Program (STEP)
✔️ If you plan to drive abroad, visit your local AAA to obtain an International Driving Permit
✔️ Download Duo Lingo or Babbel to start learning some words and phrases
✔️ (Optional but motivating!) Start a fitness or wellness routine so you feel your best while traveling
As the excitement builds, this phase is all about locking in experiences and handling health-related details.
✔️ Book excursions, tours, or activities you don’t want to miss
✔️ Schedule a doctor’s appointment if you’ll need prescription refills or want to discuss travel-specific health considerations
✔️ Purchase any new gear or items you’ll need, such as adapters, walking shoes, or reef-safe sunscreen
✔️ Arrange house-sitting, pet care, or childcare as needed
✔️ Schedule any pre-trip appointments (hair, nails, etc.)
✔️ Pick up any travel-sized items you may need
✔️ Cruise-specific: complete online check-in and secure dining, shows, spa appointments, and excursions
Now it’s time to fine-tune the details and start shifting into travel mode.
✔️ Fill in any remaining itinerary gaps (restaurants, museums, beach clubs, reservations)
✔️ Reconfirm all bookings (we handle this for our clients)
✔️ Arrange airport transportation or parking
✔️ Check your cell phone plan for international coverage or activate an international plan if needed
✔️ Notify your bank and credit card issuers of upcoming travel
✔️ Schedule bill payments and manage any time-sensitive responsibilities at home
✔️ Begin planning what to pack
✔️ Schedule a temporary mail hold https://faq.usps.com/s/article/USPS-Hold-Mail-The-Basics
✔️ Order foreign currency from your bank if appropriate
✔️ Refill prescriptions
The final countdown—this is about small details that make departure and return much easier
✔️ Get small bills for tipping
✔️ Make copies of passports and important documents
✔️ Download airline and hotel apps and add your reservations
✔️ Schedule your out-of-office message
✔️ Remove old tags or stickers from luggage
✔️ Check the weather forecast
✔️ Reconfirm house-sitting and pet-care arrangements
✔️ Stock up on easy meals for your return home
You’re almost there! A little preparation now goes a long way when you return.
✔️ Put clean sheets on your bed and fresh towels in the bathroom- your future self will thank you!
✔️ Clean out the fridge and take out the trash
✔️ Throw any unused bread in the freezer
✔️ Check to make sure nothing is in the washer- mildewy clothes are the worst!
✔️ Adjust thermostat settings
✔️ Make sure the coffee pot is empty (the grinds will grow mold quickly!)
✔️ Unplug unnecessary electronics
✔️ Finish packing and make a list of last-minute items to throw in the suitcase
✔️ Charge your devices
✔️ Check in for your flights!
While this seems like a lot to do, if you stick to the timeline, you won’t be overwhelmed! Doing these things will ensure you sail into your vacation stress-free.
